Bulk emailing

You can send bulk emails to your store's customers from the Cafe24 admin.
Check the results of each email along with statistics such as open rate, click rate, and bounce rate.
Scheduled emails can be canceled up to 10 minutes before they are sent.

Sending bulk emails

You can email your store's customers all at once.

  1. Go to Messages>Send now>Bulk email.
     
  2. Choose who to send to under Recipients.
    When you select the customer levels to send to, the number of recipients is calculated for those levels.
     
  3. Under Email type, select Advertisement or Required notice, then enter a subject.
    The subject can be up to 255 characters.
     
  4. Write the email content in the editor. Content is required.
     
  5. If you have a file to include, add it under Attachment. (optional)
     
  6. Under Send time, choose whether to send now or schedule for later.
     
  7. Fill in all required fields under Seller information.
    This information is automatically added at the bottom of the email.
     
  8. Check the footer notice in the Unsubscribe (or Notice) preview.
     
  9. Select the consent confirmation checkbox under Pre-send check.
     
  10. Click Send.
    Once sending starts, the message Your email has been sent appears.

 

 

Note

When the Send button doesn't work
 

  • You can't send if any required field under Seller information is empty. The Pre-send check area shows which fields are missing.
  • You can't send if the reply-to email is an address that can't receive replies, such as no-reply or donotreply.
  • You can't send unless the consent confirmation checkbox under Pre-send check is selected.
  • You can't send if the email content is empty.

 

Selecting recipients

Choose who receives the email from your store's customer levels.

  • When you select the customer levels to send to, the number of recipients is calculated for those levels.
  • If you select Advertisement, you'll see N customers in level · N opted in · N eligible, and customers who haven't opted in or have unsubscribed are automatically excluded.
  • If you select Required notice, you'll see N customers in level · N eligible, and the email is sent regardless of marketing consent.
  • To create or edit a customer level, click Manage customer levels to go to Store settings>Customer settings>Manage customer levels.

How recipients are checked
 

  • Bulk emails are only sent to customers who pass both of the checks below. Anyone who fails either check is automatically excluded.
    1) Store membership: checks whether the person is a valid customer of the store. (guests and deleted accounts are excluded)
    2) Email verification: checks whether the customer has completed email verification. (unverified customers are excluded)
  • If you select Advertisement, marketing consent and unsubscribe status are checked as well.
  • If you select Required notice, only the consent check is waived. The store membership and email verification checks still apply.
    This is why the number of eligible recipients may be lower than the total number of customers in the level.

 

Selecting the email type

This is where you declare whether the email is an advertisement. Your choice automatically changes the subject prefix and the unsubscribe section at the bottom of the email.

  • Advertisement (default)
    An [AD] prefix is added in front of the subject. The same prefix applies regardless of the recipient's country.
    A one-click unsubscribe link is automatically added at the bottom of the email.
    The email is only sent to customers who have given marketing consent.
  • Required notice (non-advertising)
    No subject prefix is added.
    No unsubscribe link is included. Instead, the notice This email is not subject to unsubscribe is shown.
    Use this only for non-advertising content such as policy updates, recalls, or transaction notices. It is sent regardless of marketing consent.

The subject can be up to 255 characters, and the prefix area only appears when Advertisement is selected.

 

 

Note

Things to check when selecting Required notice
 

  • Use Required notice only for non-advertising information such as policy updates, recalls, or transaction notices.
  • Emails containing coupons, discounts, events, or purchase incentives are classified as advertisements and can't be sent as a required notice.
  • If the email includes even one coupon, discount, event, purchase incentive, or other promotion, the entire email becomes an advertisement.
    Sending it to customers who haven't given consent may result in legal penalties.
  • The sender (seller) is fully responsible for any consequences of not following the above.

 

Writing the email content

Use the editing tools to write your email content. Content is required.

  • Text formatting
    Apply bold, italic, underline, and other formatting.
  • Paragraph settings
    Use lists and indentation to make your email easier to read.
  • Insert
    Insert links and images.
    Use substitute variables (Σ) to automatically fill in customer information.
  • Other tools
    Undo, redo, view HTML source, and switch to full screen.
    The word and character counts are shown at the bottom of the editor.
    You can also write the content as an HTML template.

 

Adding attachments

You can attach a file to your email.

  • Drag and drop a file, or click Choose file to add one.
  • You can attach up to 1 file, up to 2 MB.
  • File types blocked for security reasons, such as executable files, can't be attached.

 

Setting the send time

You can send right away or schedule for later.

Sending now

  • The email is sent as soon as you click Send.
  • Emails aren't subject to nighttime sending restrictions.

Scheduling emails

  • Select Scheduled to set a date and time.
  • You can schedule from 15 minutes after the current time up to 30 days ahead, in 5-minute increments.
  • Any time from 00:00 to 23:55 can be selected.
  • If you select today's date, you can't choose a time earlier than 15 minutes from now.
  • Scheduled times follow the standard time zone of your account's business country.
  • A schedule can be canceled up to 10 minutes before sending. The last time you can cancel is shown on screen.
  • Cancel a schedule on the Scheduled emails tab of the email history page.

 

Entering seller information

This is where you enter the sender details that are automatically added at the bottom of the email. Many countries require this information by law, so you can't send the email if it's empty.

  • These fields are required. You can't send if any one of them is empty.
    Company name / Representative / Business address / Phone number / Reply-to email
  • The privacy policy URL is optional. You can send without entering it.
  • If you enter an address that can't receive replies, such as no-reply or donotreply, a warning appears and sending is blocked. Enter an address that can receive replies.
  • What you enter is reflected in the footer preview right away. Empty fields are shown in red as Not entered in the preview.
  • Seller information isn't translated. It appears in the email exactly as you entered it.

 

Checking the email footer notice

This is the notice automatically added at the bottom of the email. You can't edit it directly, and its content changes with the email type. You can review it in the preview on screen.

Footer when Advertisement is selected (unsubscribe)

  • Reason for receiving: Sent based on marketing consent verified as of YYYY-MM-DD
  • A one-click unsubscribe link with the note Takes effect immediately when clicked
  • Advertising disclosure: This email is an advertisement.
  • Reply guidance: For inquiries, reply to the email address listed below.
  • Seller information: company name, representative, address, tel, reply-to email, privacy policy link

Footer when Required notice is selected (notice)

  • An explanation that this is a required notice sent regardless of marketing consent
  • The note This email is not subject to unsubscribe
  • Reply guidance
  • Seller information
  • No unsubscribe link is included.

 

 

Info

Language of the footer notice
 

  • The footer notice appears in your store's language, and English is shown alongside it if your store's language isn't English.
  • The notice text and labels are translated, but the values you entered under seller information (company name, representative, address, and so on) appear exactly as entered.

 

Checking before sending

Right above the send button, this area shows the legal confirmations you need to make and any fields you haven't filled in yet.

  • Seller obligations (required)
    I confirm that this email will be sent only to recipients who have given lawful marketing consent. In case of a violation, Cafe24 may restrict or suspend sending, and the sender (seller) is liable for any damages caused by the violation.
    You must select this checkbox to send.
  • Cross-border transfer notice
    Recipients' personal data is transferred overseas (AWS) while the email is being processed.
    State this in your privacy policy and inform your customers.
  • Reasons sending is blocked
    Any fields you haven't filled in are listed here, and the Send button stays disabled while even one remains.

 

Viewing your email history

You can check the results of emails you've sent and any scheduled emails that haven't been sent yet.

  1. Go to Messages>Message history>Bulk email reports.
     
  2. Select the tab you want to view.
    The Sent emails tab shows the results of emails sent right away and scheduled emails that have started sending.
    The Scheduled emails tab shows scheduled emails that haven't been sent yet.
     
  3. Set your search filters, then click Search.
     
  4. Click a subject to open the details page.

Sent emails tab

  • Search filters: period (today / 7 days / 1 month / 3 months / 1 year, default 1 month), status (all / sent / sending / pending / bounced / spam report / failed), email type (all / advertisement / required notice), subject
  • List columns: send time, email type, subject, status, recipients, sent, open rate, click rate, bounce rate, spam report rate
  • Emails sent from a schedule are marked Scheduled next to the send time.
  • The list is sorted by send time, newest first, and you can view 10 (default) / 20 / 30 / 50 per page.

Scheduled emails tab

  • Search filters: scheduled date (today / 7 days / 1 month / 3 months / 1 year, default 1 month), schedule status (all / scheduled / canceled), email type, subject
  • List columns: scheduled send time, email type, subject, status, recipients, created, manage
  • The list is sorted by scheduled send time so that emails going out soonest appear at the top.
  • The count next to the tab name doesn't include canceled schedules.
  • When a scheduled email starts sending, it disappears from the Scheduled emails tab and moves to the Sent emails tab.

 

Canceling a scheduled email

You can cancel a scheduled email that hasn't been sent yet.

  1. Go to Messages>Message history>Bulk email reports.
     
  2. Select the Scheduled emails tab.
     
  3. Click Cancel under Manage for the email you want to cancel.
    You can also click Cancel at the top right of the scheduled email details page.
     
  4. In the confirmation window, check the subject and scheduled send time, then click OK.
     
  5. The status changes to Canceled and the email won't be sent.

 

 

Note

Cancellation deadline
 

  • You can cancel a schedule up to 10 minutes before the scheduled send time.
  • Once the deadline passes, the Cancel button is disabled and Cancellation closed appears next to the scheduled send time.
  • A canceled schedule can't be restored. It stays in the schedule list as a record, and you can find it by searching for the Canceled status.
  • You can't edit the content of a scheduled email. Cancel it and create a new one instead.
  • Emails that have already started sending can't be canceled.

 

Viewing email details

Click a subject on the Sent emails tab to see detailed results for that email.

Delivery results

See how many emails went out and how many failed, broken down by status.

  • All / pending / sending / sent / bounced / spam report / failed
  • Sending and Failed combine several statuses and have an ⓘ icon. Click it to see which statuses are included.

Performance

These metrics show how your email performed and how healthy your sending is.

  • Open rate: the percentage of customers who opened the email.
  • Click rate: the percentage of customers who clicked a link in the email.
  • Bounce rate: the percentage of emails returned due to an invalid address, size limit, or similar issue.
  • Spam report rate: the percentage of recipients who reported the email as spam.
  • Unsubscribes: the number of one-click unsubscribes. Each takes effect immediately, and the customer is excluded from future advertising emails.
  • Unsubscribe rate: the percentage of unsubscribes against emails sent.
  • Total opens: the total number of opens, including repeats.
  • Total clicks: the total number of clicks, including repeats.

A high bounce rate or spam report rate can cause your future emails to be marked as spam. Check these numbers regularly.

Send details

See the conditions the email was sent under.

  • Status, email type, sender, reply-to email, subject, send time, whether an unsubscribe option was provided
  • You can also see the seller information that actually appeared at the bottom of the email (company name, representative, business address, phone number, email, privacy policy URL).

Sent email preview

See the email content exactly as it was sent.

Recipient list

See who received the email and what happened with each one.

  • List columns: email, customer name, ID, status, received
  • The received time is only shown for sent and spam-reported emails. Otherwise, it appears as -.
  • Use the status filter and search (email, customer name, ID) to find a specific recipient.
  • You can view 10 / 20 (default) / 30 / 50 per page.
  • Click Export as CSV to download the recipient list.

About each status
 

  • Pending: waiting to be sent.
  • Sending: being transmitted to the mail server.
  • Sent: delivered to the receiving server successfully.
  • Bounced: returned due to an invalid address, size limit, or similar issue.
  • Spam report: the recipient reported the email as spam.
  • Rejected: sending stopped because a virus was detected.
  • Rendering failed: the content couldn't be generated due to a template or variable error.
  • Delayed: delivery is delayed by the receiving server.
  • Failed: sending failed due to an unknown error.

 

 

Note

Things to check when exporting as CSV
 

  • Exporting requires identity verification and a password for the file.
  • The downloaded file contains customers' personal data. Handle it with care.

 

Viewing scheduled email details

Click a subject on the Scheduled emails tab to see the content of a scheduled email that hasn't been sent yet.

  • Delivery results and performance aren't shown because the email hasn't been sent.
  • Send details
    See the status, email type, sender, reply-to email, subject, scheduled send time, created time, recipients, attachment, whether an unsubscribe option is provided, and seller information.
    The last time you can cancel is shown next to the scheduled send time.
  • Email preview
    See the email content exactly as it will be sent.
  • Scheduled recipient list
    See who the email will be sent to. (email, customer name, ID, status)
    Search and CSV export are available.
  • The recipients shown here are based on the moment you created the schedule. Marketing consent, store membership, and email verification are checked again at send time, so the actual number sent may differ.

 

Setting up email verification

Bulk emails are only sent to customers who have completed email verification. Check your email verification settings.

  1. Go to Store settings>Customer settings>Account signup fields.
     
  2. Click Advanced settings next to the Email field.
     
  3. Check whether the verification method is enabled. It's set to Enabled by default, and you can change it.
     
  4. Once you save the settings, email verification applies to customers who sign up from then on.

 

 

Note

Things to check when setting up email verification
 

  • Existing customers have no verification record, so they show as unverified. Until verifications build up, the number of eligible recipients may be low.
  • Bulk emails aren't sent to customers who haven't completed email verification.

 

Anti-spam guidelines

  • You must obtain consent in advance before sending advertisements for commercial purposes.
  • When you send an advertisement, you must state the sender's company name, representative, address, contact details, a reply-to email, and how to unsubscribe.
    Enter your seller information and it's added at the bottom of the email automatically.
  • When you send an advertisement, you must indicate that it's an advertisement at the start of the subject.
    Select Advertisement and [AD] is added in front of the subject automatically.
  • Don't use altered or misleading wording to evade unsubscribe requirements.
  • Unsubscribes take effect immediately when clicked, and the customer is automatically excluded from future advertising emails.
  • If the email includes even one promotion such as a coupon, discount, event, or purchase incentive, the entire email is classified as an advertisement.
    Sending it to customers who haven't given consent may result in legal penalties.
  • The sender (seller) is fully responsible for any consequences of not following the above.
    In case of a violation, Cafe24 may restrict or suspend sending.
